Introduction to Form2CRM #
Aargh Software’s Form2CRM product seamlessly converts information submitted through online forms into service issues within Rent Manager. This includes searching for, creating, and assigning a service issue to a resident/unit/property, adding photos and documents as service issue history/note attachments, and completing Rent Manager status, due date, priority, and UDF fields on a service issue from form data.

The Magic of Form2CRM #
Most forms are configured to send an email when the [Submit] button is pressed.
To use Form2CRM, you replace the [Submit] button action from sending an email, and instead have it send the form data to Aargh servers. We process all the form data, create the service issue, and put all the data in the right place. It saves so much time for your resident service admins!!!
Aargh’s Form2CRM is compatible with any HTML forms on your website, regardless of their creation method.
Form2CRM requires you to be able to modify the “post” behaviour on the form’s [Submit] button.
Consequently, platforms like Google Forms and Microsoft Teams forms are not supported by Form2CRM. But that’s okay, as they are very limited in their capabilities for Property Managers. HTML forms are sufficient for simple tasks. For more advanced needs, including form calculations and conditionals, Jotform is an excellent choice (it’s like “no code coding” and easy for anyone to learn). This manual covers both HTML and Jotform examples, but whatever technology you choose for your Form platform, we can help you with it.

Why Should My Property Management Firm Use Online Forms For My Residents, Owners, and Staff? #
Streamline Operations #
Property management companies are always looking for ways to streamline operations, improve resident satisfaction, and enhance communication with owners and staff. While traditional methods like phone calls remain common, they’re often time-consuming and inefficient. Resident portals, such as TWA in Rent Manager, are valuable tools, but integrating online forms into your property management website takes efficiency and user experience to the next level. Here’s why online forms are a game-changer for residents, owners, and staff alike.
Benefits for Residents #
- Accessibility and Convenience: Not every resident is comfortable navigating a portal or has easy access to login credentials. Online forms offer a simple alternative, accessible from any device—desktop, tablet, or smartphone—making it easy for all residents, regardless of tech-savviness, to submit requests or feedback.
- Ease of Use: For quick tasks like reporting a maintenance issue or booking an amenity, filling out a website form can be faster and more intuitive than logging into a portal, boosting resident engagement.
- Enhanced Experience: Well-designed forms show residents that their needs are a priority, improving satisfaction and fostering a sense of community. This can lead to higher retention rates.
- Variety of Options: From maintenance requests to pet registrations, forms can be tailored to diverse resident needs, offering flexibility that encourages interaction.
Benefits for Owners #
- First Impressions: Prospective tenants and owners visiting your website will notice organized, accessible forms—especially on community-specific landing pages. This signals professionalism and responsiveness, setting a positive tone before they even engage with your team.
- Community Customization: Forms can be tailored to the unique rules or needs of each property (e.g., pet policies or parking bylaws), ensuring owners see relevant, property-specific solutions in action.
- Data Insights: Custom forms collect structured data that can be analyzed to identify trends, such as recurring maintenance issues, helping owners make informed decisions about their properties.
Benefits for Staff #
- Better Data Organization: Forms automatically categorize and sort submissions, reducing the chaos of scattered emails or phone messages. Staff can quickly prioritize and act on requests without missing a beat.
- More Complete Information: Customizable fields, file uploads, and e-signatures ensure staff receive all the details they need upfront, minimizing back-and-forth and speeding up resolution times.
- Time Savings: By integrating forms with Rent Manager via Form2CRM, staff avoid manual data entry, freeing them up to focus on higher-value tasks like resident support or property improvements.
- Internal Efficiency: Staff-specific forms (e.g., unit audits or lease renewals) streamline internal workflows, keeping teams aligned and productive.
Universal Advantages #
- Seamless Integration: With Form2CRM, form data flows directly into Rent Manager, connecting resident, owner, and staff interactions to your core system. This reduces errors and keeps everything in one place.
- Increased Engagement: Interactive, user-friendly forms encourage more communication from all stakeholders, strengthening relationships and building a more connected community.
- Scalability: Whether you manage one property or dozens, forms can be customized and scaled to fit your needs, ensuring consistency and relevance across your portfolio.
Why It Matters #
Online forms complement tools like resident portals by offering an additional, flexible channel for interaction. They meet people where they are—whether that’s a tech-savvy resident, a busy owner, or an on-the-go staff member—and deliver a modern, efficient experience. By adopting online forms with Form2CRM, you’re not just simplifying processes; you’re elevating satisfaction, improving data management, and showcasing your commitment to excellence in property management.
